Photocopiers are the unsung workhorses of many a small business, often only really taken notice of when they fail and need to be replaced
When it's time to upgrade or replace photocopiers, selecting the best option can be hard work at the best of times. If you don't have a clear idea of exactly what you what your copier to do then it can seem positively daunting. There are hundreds to choose from, a multitude of suppliers, models and specifications. The chances are, since you last bought a photocopier or committed to a printer lease things have moved on a bit. What about new photocopiers? What new features can you expect for your money? What are the new developments that you might benefit from?
Important photocopier considerations
Before you throw yourself in too deep, it's a good idea to take a small step back and ask yourself a few simple questions. Establishing a clear idea of what you need your photocopier to do will inevitably save you time, money and hassle. For example, how many A3 and A4 pages do you expect to copy. A desktop A4 will cope with up to 2000 a month. Any more than that and you need something more robust. A general rule of thumb is that the cheaper a printer is the more expensive it is to run.
Would your business from using a colour photocopier? While many businesses might like to have the option of colour printing, bear in mind that although the typical price of a colour photocopier has come down in price quite significantly over recent years, they are up to 5 times more expensive to run than black and white printers. A colour photocopier is also not designed to produce the same amount of work and they're not as cheap to repair as black and white.
What else other than just photocopying might you want it to do? Rather than just a photocopier what about multi function printers that print, scan and fax? These days many new models include multiple functions such as scanning and electronic collate as standard. Remember though that if you are reliant on just one machine you could run into serious problems if it breaks down.
There are lots of options and plenty to consider as always when it comes to photocopiers. The good news though is that if you choose wisely you can land a great deal of copier for your money.
