Thirty years have passed since I lost important records and pictures to water damage. I learned then what it takes to restore and save documents that couldn't otherwise be replaced. Since that time, I have become passionate about taking pictures (and now scanning) all important records, placing the images on a Compact-Disk or Digital Video Disk, and storing a set of them far away from my physical location.

Every time a hurricane hits our country, my inner-self shudders for the people and aftermath that they will have to endure. I have the same feeling when a wet newspaper arrives at my door. I have become a clarion of disaster preparedness, especially in the record-keeping department.

Prevention is the best cure. It is not unusual for customers and contractors to ask for the paperwork in "soft-copy" (a computer file) on a disk along with the paper copy. Many companies today have copy machines that automatically scan the documents and create a computer file for their permanent "file". That file can be transmitted to everyone who was involved in a business transaction, to a file archive, and to some off-site location to be saved in case a natural event destroys the worksite.


So what if you haven't been able to prepare like this for the unknown. There is a cavalry of services available to your business to attempt restoring the documents. Notice I said attempt! While they can perform miracles, I have seen thousand-page documents sealed shut by the wetting and drying processes. In some cases, the files may be distributed miles away in another county. Proprietary business records could be lost permanently, or worse yet, end up in the hands of a competitor.

You want to restore business as usual as fast as you can! You call in your disaster specialist and the first recommendation will be to freeze-dry your damaged records. What that does is prevent any other damage to the files by changing the state of the liquid to hard. It now puts them in control of how to dry and when to do it in a climate-controlled environment with low humidity.

Just letting the papers dry with the fans working at top-speed will create further damage, loss, and spread of germs that can also destroy print and paper.


Just remember that time is critical. The longer you wait to get started, the more the damage is irrepairable.
