Appearance Standards Policies for Your Organization

Your organization would look chaotic if employees resemble sporty college goers. If your employees are trying to make fashion statements everyday and it's hampering the normal work process, it's about time you formulate an appearance standards policy which relates to the main business purpose and promotes a healthy ambiance. Your first step towards formulating the policy is - identifying the reason for the policy. Ensure that it is consistent with federal/state discrimination laws.



The appearance standards policy should apply to all employees with customary differences for males and females. But, avoid placing one sex in a subordinate position to another. For example, when you say uniforms for females and business attire for males, it automatically creates discrimination. Policies that highlight sexual differences can catch you on the wrong foot. A practical approach would be to uniformly enforce appearance policies with exceptions as necessary to satisfy any requirements for reasonable accommodation.



Also avoid appearance policies that enforce sexual stereotypes. Understand that there may be a difference in a "professional" image and an image that you may believe is "professional". If you are confused, seek the opinion of experts to know what's professional and draw out plans accordingly.



Your organization's appearance standards policy should be reviewed with applicants, so that they are fully understood prior to hiring. Not just while hiring, but as and when you make changes to the policy, inform the employees about the changes and get them to sign a declaration that they have read and understood the terms and conditions of the policy. This places you in the best position to avoid future problems with employees. The knowledge of the policy may discourage applicants who may be inclined to challenge the policy.
